Trackilero vs ClickUp
ClickUp is a work platform that can be shaped into almost anything: docs, chat, goals, whiteboards, dashboards and project management, with time tracking as one feature among many.
Trackilero is narrower on purpose. Most small teams we talk to open their work tool to log hours and book time off, and very little else. Trackilero starts there, and the rest (tasks, planning, invoicing) stays switched off until you want it.
| Trackilero | ClickUp | |
|---|---|---|
| Built for | Small teams, studios and agencies of 3 to 100 people who mostly need timesheets and leave. | Teams of any size that want one platform for projects, docs, chat and more. |
| Time tracking | A timer and a weekly timesheet. Minutes are stored exactly and never rounded. | Included on every plan, with more advanced time features on higher plans. |
| Time on subtasks | Three levels. Each task shows its own time and, next to it, the total including subtasks, labelled, never added together. | A rollup that sums task and subtask time, once an admin turns on the Time Tracking and Time Tracking Rollup ClickApps. |
| Leave and time off | Built in: requests with an exact day picker and half days, approve, reject or approve part, balances that are reserved the moment a request goes in. | Built from templates: a time-off request list or form with custom statuses and fields. Balances are not built in. |
| Setup | Pick Simple, Standard or Full. Simple is time, a calendar and leave; more areas switch on in Settings when you need them. | Spaces, folders, lists, custom statuses, custom fields and ClickApps to arrange first. |
| AI and chat | No AI features and no chat. | Chat is built in. The AI assistant (ClickUp Brain) is a paid add-on per user. |
| Price | Free for up to 3 people. Team is $2 per person per month ($1.60 paid yearly), Business $4. Every new workspace gets a 7-day trial of Team with no card. | Per-user plans, plus the AI add-on if you want it. See clickup.com/pricing. |
Leave that keeps its own balance
In ClickUp, time off is usually a list built from a template: a task per request, a status for approved or rejected, and a custom field for the dates. It works, but the remaining balance is something someone has to keep.
In Trackilero, an admin sets each person’s allowance and approver. When someone asks for days off, those days are taken off their balance straight away, so two requests cannot both spend the same days. The approver can say yes to all of it, some of it, or none. The team calendar shows who is away.
Subtask time you can read at a glance
Both products add up time across subtasks. The difference is in how it is shown. Trackilero puts a task’s own time and its total including subtasks side by side, and every total that includes subtasks says so: “3h 20m (incl. subtasks)”. Nothing has to be switched on first, and the two figures are never added together on a report.
Less to set up
Trackilero has five fixed statuses and five priorities in every workspace, so there is nothing to design before the first hour is logged. A new workspace starts on the Simple setup: the timer, the weekly timesheet, a calendar of the week and leave. Tasks and clients, planning and invoicing are each one switch in Settings, and an admin can narrow what any one person sees, for example a contractor who only sees the timesheet.
When ClickUp is the better choice
- You want docs, chat, whiteboards and project management in the same tool.
- You need custom statuses or custom fields per list. Trackilero deliberately has neither.
- You want an AI assistant inside your work tool.
- Your team is well past a hundred people with many departments working in different ways.
Moving from ClickUp
Export a list from ClickUp as CSV and drop it on a Trackilero project. Parent tasks, statuses, priorities, due dates, estimates, assignees and tags are matched, and you see every row before anything is created. Task import is on the Team plan.
Questions
- Is Trackilero a full ClickUp replacement?
- For time tracking, timesheets, leave and simple task lists, yes. For docs, chat, whiteboards or custom workflows per list, no: Trackilero does not have them and does not plan to.
- Can we track time on subtasks?
- Yes, three levels deep. Each task shows its own time and its total including subtasks, labelled, and reports never add the two together.
- Does Trackilero have AI?
- No. There are no AI features and no chat.
- How much does it cost?
- Free for up to 3 people. Team is $2 per person per month ($1.60 paid yearly), Business $4. Every new workspace gets a 7-day trial of Team with no card.
